Job Overview:  

As a key member of the Merchandising Services team, the Manager Merchandising Services will work with the Director Merchandising Services and cross-functionally, with all areas of the company, as well as externally, with customers, suppliers and brokers. The Manager Merchandising Services will have one of two focus areas: a foucs on the oversight for the SVHarbor ePASS application and the SVHarbor access and billing database, including security for all users or deliver oversight for overall supplier, customer and broker support.

Overall Supplier, Customer and Broker Support: The position will oversee the “priority program” for suppliers, which includes designated email and phone access to the Merchandising Services team, as well as other dedicated emails and ePASS groups. In addition, will manage the ReposiTrak compliance program, which is tied to Supplier Workflow processes for new suppliers and changes. Will provide insights and recommendations to meet and exceed company goals and objectives, as well as ongoing support for key initiatives or assistance in areas as identified.

SVHarbor ePASS application and the SVHarbor access and billing database, including security for all users: The position will be a resource for the Chargeback system, as the key process for non-systematic deductions. Will provide insights and recommendations to meet and exceed company goals and objectives, as well as ongoing support for key initiatives or assistance in areas as identified.

Job Responsibilities and Accountabilities: 

  • Prepares recommendations on enhancements to business processes that would streamline communications with both internal and external users.
  • Works creatively and analytically in a problem-solving environment demonstrating teamwork, innovation and excellence.
  • Recommends ways to drive change and process improvements for both short and long-term objectives, goals and strategies, through strong project management.
  • Maintains current documentation of all areas.
  • Manages, coaches and develops a strong team. Assists Director with ongoing projects and initiatives.
  • Performs other relevant job duties as required.

Focus Area: Priority Program, ReposiTrak

  • Leads overall oversight and management of the supplier “priority program”, which includes dedicated access and support for areas provided, as part of this service, including set metrics and reporting.
  • Oversee the Merchandising Services email, which is also used for various project support required, where this is given out in communications.
  • Maintains master supplier grid to categorize suppliers into identified areas for tracking, closing gaps, support level and managing manual charges for suppliers that request assistance outside preferred systems and processes.
  • Monitor commitment for Merchandising Services and create billing to suppliers.
  • Create and maintain multiple levels of reporting, so metrics are met, for all supplier categories, including escalation points.
  • Leads the ReposiTrak program for the organization, including existing and new requirements, working with legal and requirement owners, system users and ReposiTrak staff.
  • Create and distribute ReposiTrak compliance reporting for suppliers, internal owners of requirements and leadership.
  • Prepare and bill the annual ReposiTrak fees, maintaining a master list, managing the commitment and any needed repays.
  • Manage the ePASS ReposiTrak group, ensuring expected pass response timing and updates made to Supplier master data
  • Using Workflow, responds to all assigned requests, ensuring all aspects of supplier data are current across platforms and timely updates are made to Supplier Grid and ReposiTrak profiles, including terms, which affect Adjusted Cash Discount (ensure reports are loaded for regions) and need to be communicated to manage correct costs to customers.
  • Manage the Merchandising Services ePASS group, currently for escalated passes needing supplier negotiation.
  • Develops and provides ongoing training, as needed to close gaps with suppliers or internal staff.

Focus Area: SVHarbor ePASS Applicatation, SVHarbor Access & Billing Database

  • Leads overall oversight and management for the ePASS application and SVHarbor security, including IT interaction, reporting, training and ongoing analysis of pass groups, group owners and members, and security profiles, to optimize usage of the systems across the organization.
  • Maintains multiple levels of reporting, so metrics are met, passes are not aging, working directly with groups to ensure goals are met.
  • Directs and measures timely responses to assignment of passes, working to move requestors into SVHarbor, reduce overall passes and minimize communications outside preferred processes.
  • Ensures all aspects of supplier data are current across platforms and timely updates are made to security profiles.
  • Develops and provides ongoing training to all users of the ePASS application to reduce the overall number of passes.
  • Ensures SVHarbor database is current and accurate in coding of suppliers and brokers in relation to use of all applications.
  • Creates the overall SVHarbor tiers used for the annual SVHarbor billing for both suppliers and brokers to meet commitment, with minimal impact to debit balance or repayments.

Job Requirements:  

  • Education/ Certifications: (Required & Preferred): BS degree in Business, Accounting or related field.
  • Minimum of 5 - 8 years of related experience
  • UNFI systems and understanding of business processes across the organization.
  • Previous experience in leading a successful team
  • Strong leadership skills, including ability to communicate and interact with technology organizations
  • Flexible and adaptable to learning and understanding new technologies
  • Ability to create credibility with our business partners, both internally and externally, in order to solve problems and meet SLA’s, goals and objectives
  • Self-motivated and decisive, with the ability to adapt to change
  • Proven ability to successfully lead and manage a team
  • Excellent written, verbal and interpersonal communication skills, including methods of sharing information
  • Financial acumen
  • Proficiency in the Microsoft Suite
