Job Overview:

The Operations Assistant provides administrative, operational, and analytical support to the district leadership team to ensure consistent execution, compliance, and communication across all stores within the district. This role functions as a key coordination point for district reporting, safety and compliance tracking, scheduling standards, and onboarding logistics, contributing to operational efficiency, risk mitigation, and alignment with company standards.

Job Responsibilities:

Data Management & Reporting

  • Manage district-level data collection, validation, analysis, and distribution for both recurring and ad hoc reporting, including operational metrics, compliance dashboards, performance summaries, and executive-ready materials.

  • Collect, format, track, and disseminate store-level data in response to district and corporate requests, ensuring accuracy, completeness, and timeliness.

  • Track and report on key operational indicators such as out-of-stock metrics, sustainability outputs (e.g., bale production and plastic usage), inventory count variances, equipment readiness, and store execution of action items.

  • Support special data initiatives during operational disruptions (e.g., system outages), including daily tracking of load status, password reset compliance, and execution follow-ups.

  • Maintain organized reporting tools and spreadsheets, ensuring data integrity, version control, and audit readiness.

Safety, Compliance, and Risk Tracking

  • Maintain district-wide tracking for food safety certifications, employee and customer safety incidents, equipment safety compliance, and inventory variance reporting.

  • Serve as a liaison for food safety compliance by tracking certifications, monitoring expirations, and coordinating communication with stores and FSQA partners regarding required training.

  • Track employee health and safety issues, monitoring open items and ensuring timely follow-up and resolution.

  • Monitor facilities and maintenance work orders related to food safety and employee or customer safety, escalating risks and ensuring completion as required.

Communication & Cross-Functional Coordination

  • Act as a key point of contact between district leadership, store leadership, and corporate support teams to ensure timely communication, documentation, follow-up, and escalation of operational, safety, and compliance matters.

  • Prepare, format, and distribute district communication materials, including weekly conference call agendas, cross-functional meeting agendas, action-item logs, and operational updates.

  • Develop and distribute monthly and quarterly planning materials and meeting agendas for cross-functional audiences based on district priorities and incoming requests.

Scheduling Compliance & Audits

  • Monitor store and district leadership scheduling compliance by tracking weekly submissions, auditing adherence to established scheduling standards, and identifying trends or risks.

  • Conduct schedule audits for Store Directors and Assistant Store Directors, including spot checks for compliance with labor and scheduling expectations.

  • Communicate directly with store leadership regarding missing, incomplete, or non-compliant schedules and escalate concerns as appropriate.

Onboarding & Training Coordination

  • Coordinate onboarding and training logistics for new Store Directors and Assistant Store Directors, including calendar alignment, training schedules, system access requests, and coordination with internal and cross-functional partners.

  • Support continuous improvement of onboarding processes to improve consistency, efficiency, and the new leader experience.

    Job Requirements: Education/ Certifications

  • Associate degree preferred and/or related experience

  • Minimum 2 years of experience in an administrative, operations support, or coordination role.

  • Prior experience in grocery retail, multi-unit retail operations, field operations, or a comparable environment strongly preferred.

  • Demonstrated experience preparing and managing reports, spreadsheets, dashboards, or tracking tools in a deadline-driven setting.

  • Experience supporting district, regional, or multi-location leadership teams preferred.

  • Exposure to safety, compliance, audit, or certification tracking (e.g., food safety, OSHA, or similar regulatory requirements) preferred.

  • Knowledge/Skills/ Abilities

  • Advanced organizational skills with a high level of accuracy, attention to detail, and follow-through

  • Ability to manage multiple priorities, meet deadlines, and work effectively with minimal supervision

  • Strong proficiency in Microsoft Excel, Outlook, Word, and PowerPoint

  • Professional written and verbal communication skills, with the ability to interact effectively across all levels of the organization

  • Ability to handle confidential, sensitive, and safety-critical information with discretion and sound judgment

  • Strong analytical, problem-solving, and decision-making skills

  • Good judgment is required for this position as there may be times when direct supervision may not be immediately available.

Work Environment: Hybrid Role: This position follows a hybrid schedule working in office three (3) days per week. The acceptable split between onsite and remote work is determined by the manager. Hybrid associates may choose to work from an office on a more frequent basis than required.

Travel (minor):This position may require the associate to travel to company offices, distribution centers, stores or other locations for specific meetings or other business reasons.
